How can we share user feedback clearly and effectively within a large company?

During my internship at DPG Media I worked on the apps for several newspaper brands and monitored user feedback submitted through these platforms.

To effectively share this feedback within a large organization, I redesigned a newsletter. This newsletter includes several key elements, such as the volume of feedback and a mood score that reflects overall user sentiment. It also provides a more detailed breakdown of individual news brands and highlights the key themes that emerged over the past month.

Redesign

The existing newsletter was still based on an outdated visual identity and required a significant amount of manual work for each new edition. The goal of the redesign was therefore not only to refresh the visual appearance, but also to make the production process more efficient and user-friendly.

The redesigned newsletter was built around the updated visual identity of the News UX team. The focus was on creating a consistent and recognizable design that aligns with the DPG Media brand. In addition, we focussed on a clear structuring of information, ensuring that the content remains easy to read and accessible for the internal audience.

Feedback & mood totals

Below is an example of a chart that was digitized as part of the redesigned newsletter. This allows the chart to be updated more quickly, consistently, and with greater specificity for each new edition.
To make connections between current figures and previous months more visible, trend lines were added. These provide an immediate overview of whether the results are above or below average. As a result, trends, patterns, and performance over a longer period become easier to understand, allowing information to be interpreted and compared more efficiently.

Next steps

Because the newsletter was mainly used as a passive communication tool and did not always lead to concrete follow-up actions, there was a need for better follow-up regarding feedback points. In addition, it was not always clear to colleagues which actions different teams were already taking in response to certain issues or signals. To improve this, After collecting and formulating the feedback, I contacted the relevant Product Owners to determine whether they were aware of the issue and what actions were currently being taken.

This approach allowed the newsletter to provide not only insight into the feedback itself, but also visibility into the progress and possible solutions. As a result, the process became more transparent within the organization and helped teams to be better prepared for questions or discussions surrounding these topics. In addition, it made the newsletter a more active and relevant communication tool within the company.

Reflection

What I learned most from this project is how important it is to process and share feedback in a clear and structured way within a large company such as DPG Media. By managing and further developing this newsletter over the course of six months, I gained more insight into internal communication and the structuring of information for different teams.

I also learned how small adjustments in design and workflow can contribute to a more efficient process and clearer communication. I also gained experience working within existing brand guidelines and collaborating with different teams and Product Owners.
